Key Responsibilities:
- Reporting, Communication, and Information Synthesis
Executive Communication: Serve as the central communication hub, providing concise, to-the-point
summaries and briefs to both the CEO and Co-CEO on complex topics, ensuring rapid comprehension. - Weekly Progress Reporting: Compile, consolidate, and edit Weekly Progress Reports on the performance
and key metrics of different business units and portfolios managed by both executives. - Meeting Support: Take accurate and concise meeting minutes and formally track all action items,
ensuring timely follow-up for both the CEO and Co-CEO.
Executive and External Protocol Management:
- Protocol Adherence: Establish and maintain a strict protocol to deal and communicate with executive
leadership across the industry, VIPs, and government officials, ensuring communication is professional
and aligns with both executives’ standards. - Communication Gateway: Act as the primary gateway for all communication directed to both the CEO
and Co-CEO across all modes (calls, SMS, WhatsApp, email, Telegram, etc.). Read, filter, prioritize, and
respond to all correspondence on their behalf. - Media Relations Support: Serve as the initial contact for media queries. Organize, schedule, and
coordinate arrangements for both executives’ interview and podcast appointments, working closely with
the Marketing/PR team. - Social Media Interaction: Interact and collaborate directly with the social media team to help maintain
and curate both executives’ professional social presence and consistent public messaging.
Global Logistics and Schedule Management:
- Global Support & Availability: Be available to work outside of standard office hours to manage
communications and logistics for both executives across different time zones. - Comprehensive Travel Planning (Regular Travel Required): Plan and manage all aspects of travel for both
executives, including booking flights and hotels, arranging ground transportation (pick-up/drop-off), and
facilitating check-ins/check-outs. - Documentation: Oversee the preparation of all necessary travel documentation (visa applications, ETAs,
arrival/departure cards). - Dual Calendar Management: Maintain dynamic and complex schedules for both the CEO and Co-CEO,
proactively managing overlapping meetings and deadlines across multiple time zones. - Daily Preparation: Prepare and disseminate comprehensive daily schedules and prioritized “to-do” lists
for both executives.
Global Logistics and Schedule Management:
- Digital Proficiency: Effectively leverage Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and AI -based tools for speed, accuracy, and efficiency in research, reporting, and follow-ups.
- Office Support: Handle general administrative duties such as ordering food and assisting with expenses.
Skills & Experience Required:
- Proven experience as an Executive Assistant or Personal Assistant supporting C-level executives,
with prior experience managing the schedules of two or more senior principals simultaneously
being highly desirable. - Demonstrated ability to work effectively in high-stress and high-workload environments and
seamlessly work outside office hours to support global operations. - Superior ability to synthesize information and provide concise, to-the-point summaries in crisp
communication. - Familiarity with corporate and government communication protocols and media relations
processes. - Exceptional digital proficiency with MS Office and various communication platforms, including
the effective use of AI tools. - Must be highly flexible, adaptable, and willing to travel frequently, often internationally, with the
executives. - Ability to handle sensitive information for both leaders with the highest degree of confidentiality
and discretion.
